Verifying your email domain ensures that the right person becomes the initial system admin for your community. It can also help us to recognize people as belonging to your organization when they first sign-up for a Workplace account. Find out more on the Customer Resource Center.

Domain management
We verify your email domain to ensure that the person who's being granted system admin access is the correct person. System admins have the ability to administrate and manage your community.
If you're having issues with verifying your email domain, you should contact someone from your IT department, who will likely be able to perform the domain verification for you.

You can add and verify an email domain by accessing your Admin Panel.
To add an email domain:
  1. Click Admin Panel.
  2. Click Settings.
  3. Select the Email Domains tab.
  4. Under Allow List or Verify a Domain, enter the domain name and select Add Domain.
Note: If you get an error saying your domain is already taken, this could mean that your suggested domain is already being used by another company, or that you're trying to add a public domain. If you believe this is a mistake and can prove ownership of the domain, please contact our support team for help.
To verify an email domain, you can use 1 of 3 methods that will appear once you have clicked Verify next to your email domain name.
Email verification:
  1. Click Send Email.
  2. Select the email address you’d like to receive a confirmation email.
  3. Select the administrative email address where the verification code will be sent to, ex: admin@ administrator@ postmaster@ webmaster@ hostmaster@.
  4. Follow the instructions in the email.
Using HTML File Upload:
  1. Select Upload HTML File.
  2. Select Upload HTML File to upload an HTML file to your website. To do this, you need admin access to your website's root folder. This will verify your domain immediately.
Adding DNS TXT Record:
  1. Click Update DNS Record.
  2. To do this you must be able to sign in to your domain name provider. This may take up to 72 hours.
Keep in mind that the specific steps for each service may vary. If you need additional help, please contact your domain host's support team or refer to their documentation.
Note: If you're having trouble using any of these methods, please contact our support team for further assistance. If you don't have access to your website or DNS host, please contact your company's IT department.

Verify your domain using DNS TXT on Workplace. You'll then need to follow the instructions provided by your registrar. Your registrar will typically have its own set of instructions for how to verify your domain using DNS TXT. If you can't locate those instructions, consider reaching out to the registrar's support service or checking its Help Center.

You can only verify your domain if you're logged into Workplace from your computer.
To verify your domain using an HTML File:
  1. Click Admin Panel at left of Workplace.
  2. Click Settings, then select Email Domains.
  3. Click Add Domain.
  4. Click Upload HTML File then download the HTML file. You'll then need to upload the HTML file to the root directory of your site.
  5. Click Verify on your site once it's uploaded.

To find your company's domain registrar, follow these steps from your computer:
  1. Insert your domain into one of these free WHOIS lookup services:
  2. Once you find your domain, you'll need to locate the domain's Registrar. To do this, click CTRL + F on a Windows computer or Command + F on an Apple computer. Search for the word “Registrar" inside the WHOIS.
  3. The brand of the domain should appear close to the word Registrar, unless it's been marked as private. For the purposes of this Help Center article, let's assume that you've located the Registrar, and it's called Network Solutions.
  4. Now you've located the Registrar, you'll need to find its guide to modify the TXT record. We suggest you locate the guide by searching “Network Solutions txt record” on Google.
Keep in mind that the guide will not be affiliated with Workplace in any way. If you aren't sure about the guide, we suggest you contact the Registrar Help Center or Helpline.

You must be logged into Workplace from your computer to view what email domains your company has registered.
To view which email domains your company has registered:
  1. Click Admin Panel at left of Workplace.
  2. Click Settings then select Email Domains.
Note: Registering an email domain ensures that no other community can create accounts that use that email domain.

Admins can choose to turn on the self-invite setting. This will allow anyone from your chosen email domains to join your Workplace without being invited.
To turn on self-invite:
  1. Click Admin Panel at left of Workplace.
  2. Click Settings.
  3. Click next to Joining this Workplace.
  4. Select Anyone from allowed or verified domains and click Save.
  5. Back on the settings page, click next to Access Requests
  6. Select Auto approve from allowed or verified domains, and click Save.
This will enable people from the chosen verified or allow-listed email domains to automatically join your Workplace without admins having to approve the request.

Domain allow-listing
Allow listing grants Workplace admins without verified domains the ability for certain actions to be taken for Workplace that were previously restricted to only verified domains. However, it still doesn’t allow the full range of technical and administrative features that comes with verifying a domain, such as SSO.
If you're unable to or choose not to verify your domain, allow listing is an option that allows some control over Workplace creations. Allow listing still enables users to create new Workplaces under that email domain.
To allow list your domain:
  1. Log in as an admin whose domain needs to be allow listed.
  2. Click Admin Panel and go to Settings.
  3. Select the Email Domains tab.
  4. Clik Add to Allow list beside your domain name.
If you choose to allow list your domain, you can still verify it at any time.
Note: Admins can only add their domain to the allow list and not any other domains.

Admins can choose to either verify a domain, allow-list it or do nothing. If you’re unable to verify your domain, you have the option to allow-list. Allow-listing your domain allows other people with the same email domain to create separate Workplace accounts. If you choose to allow-list your domain, you can still verify it at any time.
A verified domain proves that you exclusively own that domain. Once your email domain is verified, users within your Workplace won’t be able to create new Workplaces using that domain.
Verified domains have the following features:
  • The ability to edit PII (personally identifiable information)
  • Send users notifications prior to profiles being claimed
  • SSO login
If your domain is verified, other allow-listed Workplaces won’t be shown as options for users to join.
